Running a call for reviewers

Before abstracts can be reviewed, you need a panel of reviewers. Rather than adding people one by one, the conference site lets reviewers apply themselves through a Call for Reviewers — they register, tell you the topics they can cover, and arrive ready for you to approve. This guide explains how to open a call and bring reviewers on board.

How reviewer recruitment works

The process has three simple stages:

1. You share your Call for Reviewers página.
2. Prospective reviewers complete the reviewer registration form.
3. They appear in Reviewer Management as Pending, ready for you to accept or decline.

Sharing your call for reviewers

Your Call for Reviewers page explains what reviewing involves and links to the registration form. Share its address wherever your community will see it — in a newsletter, a members’ email, or on your conference site. Anyone willing to help can then sign themselves up, which is the quickest way to build a broad, well-qualified panel.

What reviewers provide when they register

The registration form collects what you need to place each reviewer well:

• Their details — name, organisation and contact information.
• Career stage — so you can balance experience across the panel.
• Category selections — the conference topics they’re qualified to review, which is what later matches them to the right abstracts.
• Any review preferences your conference asks for, such as study type or population focus, to sharpen the match.

Approving your reviewers

As people register, they collect in Reviewer Management with a status of Pending. Go there to accept the reviewers you want on the panel or reject any that aren’t a fit. Recognising your reviewers

Reviewing is voluntary work that deserves acknowledgement, and the platform takes care of it for you. Once the event has taken place, a certificate of appreciation is generated automatically for every reviewer — a ready-made thank-you for the people who make a fair, high-quality programme possible, with nothing for you to prepare or send by hand.
