And for most, renewal is treated as a single email that goes out in September. By then, though, the outcome is largely already decided.

Members rarely leave because they are unhappy. They leave because, somewhere between joining and renewing, membership quietly stopped feeling relevant. The evidence is consistent: lapsed members cite indifference far more often than dissatisfaction, and first-year members are the most fragile group of all — many associations renew fewer than 60% of them.

The encouraging part is that the work which actually protects your autumn renewals happens now — in the six weeks before your renewal notices go out. Here is a week-by-week runway your association can follow.

Week 1 — Put your member data in order

You cannot renew a member you cannot reach. Before anything else, tidy your data: clear out bounced email addresses, update changed affiliations, merge duplicate records, and flag any saved payment cards due to expire before renewal. A surprising number of renewals fail for entirely avoidable reasons — a wrong email, an old institution, a lapsed card — and every one of those is fixable now, while there is time.

Week 2 — Segment, and find who is at risk

Not every member needs the same message, and treating them as if they do is the weakest thing you can do. Pull your membership into three groups:

First-year members — the most likely to lapse, and the group where a little attention goes furthest.

Long-standing members — your advocates, who mostly need a smooth, respectful nudge.

The quietly disengaged — those who have not logged in, attended, or opened an email in months.

Personalised, segmented outreach is the single strongest driver of renewals. A tailored message to each of these groups will always outperform one generic “please renew” sent to everybody.

Week 3 — Make renewing effortless

Every extra click costs you members. Test your own renewal journey the way a member will experience it — on a phone, from a reminder email. Can they renew in under a minute, without hunting for a login or re-entering details they have already given you? Auto-renewal, saved payment details, and a one-click renewal link are what turn “I meant to renew” into “done.” Friction is where good intentions quietly die.

Week 4 — Remind members why they joined

Renewal is a value conversation, not an invoice. Before the notice lands, remind members what their membership gave them this year: the conference they attended, the journal access they used, the community they are part of, the CPD they earned. A short “your year with us” summary — even a simple, personalised recap — reframes renewal from a cost to be justified into a relationship worth continuing. Members who are reminded of the value renew; members who only see a payment request hesitate.

Week 5 — Build a reminder sequence, not a single email

One email is a request. A sequence is a campaign. Plan yours out before renewal opens: an early heads-up, the renewal notice itself, two or three spaced reminders, and a more personal follow-up reserved for high-value or clearly at-risk members. Space them sensibly, vary the message each time, and make sure every one carries that same one-click path to renew. Most members who eventually renew do so after a reminder, not on the first notice.

Week 6 — Launch, then watch the numbers

Open renewals, and then monitor daily: who has renewed, who has opened but not acted, and whose reminders are bouncing. The members who opened the email but did not complete are your warmest prospects — follow them up quickly, while the intent is still fresh. A renewal rescued in the first fortnight is the cheapest member you will ever keep.

A special word on first-year members

If you focus your energy anywhere, focus it here. First-year renewal is where associations lose the most ground, and it is also where thoughtful effort pays back most. A first-year member has just twelve months of experience to weigh up, so make your message to them reflect what they actually did — and gently show them what the year ahead holds. Getting a member through that first renewal is often the difference between a one-year trial and a decade-long relationship.

Renewal is a campaign, not an email

None of this requires more staff or a bigger budget. It requires doing the right things, in the right order, before the window closes. The associations that treat renewal as a six-week campaign — rather than a single September email — consistently keep more members, and spend less energy chasing the ones who slipped away.

The right platform makes the runway easier to run: clean member data, one-click renewals, automated reminder sequences, and a members’ area that reminds people of their value all year round. When those foundations are in place, protecting your autumn renewals stops being an annual scramble and becomes a routine you can rely on — and August becomes the month you get ahead, rather than the month before it all catches up with you.

For most academic associations, autumn is when memberships come up for renewal — but the work that protects those renewals happens now.
